Access Policy

Effective date: 20 July 2026

This Access Policy governs entry to Hound Performance Studio, including bookings, Yale access credentials, guests, trainers, CCTV and security.

1. Access is conditional

Access is permitted only while your Membership or other approved entitlement is active, payment is current, all required acknowledgements have been completed and you comply with the Policies.

The Company may restrict access by time, capacity, booking type, area, equipment or user category for safety, security and operational reasons.

2. Personal access credentials

Your access code, digital key, login and any other credential are personal to you. You must not share, copy, publish or allow another person to use them.

Do not use another person's credential. Do not store credentials where they can be viewed or used by others.

Notify the Company immediately if a credential is lost, disclosed, compromised or used without permission.

3. Booking requirement

You must book a training slot before attending unless the Company or its authorised manager gives prior written approval.

The booking must accurately record all attendees and the purpose of the visit. Cancel the booking promptly if you will not attend.

Attend only during the booked period. Entry before a booking or remaining after it may interfere with capacity and may be treated as unauthorised access.

4. Entry and exit

Check that the door closes and locks properly when entering and leaving.

Do not allow tailgating. Do not hold the door open for a person unless you know that person is authorised and their attendance is correctly booked or approved.

Do not obstruct exits or interfere with locks, cameras, alarms, access controls, fire equipment or security devices.

5. Trainers, clients and guests

A trainer may bring only Members or clients approved in advance by the Company or its authorised manager.

Any guest, visitor, taster session, contractor or non-member attendance must be approved in advance unless the Company has created a specific access process for that category.

The person responsible for an approved attendee must ensure that the attendee follows the Policies and leaves at the end of the approved period.

6. Persons under 18

A person under 18 must not enter or use the Studio alone. They must remain under direct supervision throughout the visit.

The Company may require parent or guardian consent, proof of age, identity details and limitations on activities or equipment.

7. CCTV and access monitoring

CCTV and Access System records are used to protect people and property, verify authorised entry, investigate incidents and enforce the Policies.

The Company may compare access timestamps with booking and CCTV records. This is a manual security process and does not use automated facial recognition.

CCTV footage is normally retained for no longer than 90 days, unless it is preserved for an incident, complaint, investigation, insurance matter, legal claim or legal obligation. Access logs may be retained for longer where needed for membership administration, safety or legal records.

8. Security incidents

Report a forced door, failed lock, missing key, suspicious person, damaged camera, alarm issue or other security concern immediately.

If there is an immediate threat to life, safety or property, leave the area if safe to do so and call 999.

9. Suspension, revocation and misuse

The Company may suspend, change or revoke access without prior notice where immediate action is reasonably necessary for safety or security.

Misuse includes sharing credentials, admitting an unauthorised person, attending without a booking, tailgating, interfering with systems, attempting to bypass access controls or using the Studio after access has expired or been suspended.

Misuse may result in suspension, termination, refusal of future access and recovery of reasonable costs caused by the misuse.

10. System availability

Electronic access and booking systems may occasionally be unavailable because of maintenance, network failure, power failure, provider outage or another technical issue.

Do not force entry or attempt to bypass the system. Contact the Company for instructions. Access is not guaranteed where the Company cannot verify safe and authorised entry.
